Privacy policy

Last updated: [DATE].

Keypath (“we”) runs keypath.co.za, a service that lets estate agents keep their buyers and sellers informed about the progress of a property sale. This policy explains what personal information we process, why, and your rights under the Protection of Personal Information Act, 2013 (POPIA).

Who is responsible

[Your full name or company name], [registration number if a company], [physical address]. Information Officer: [name], [email address].

For buyer and seller information, the estate agent who creates a deal is responsible for collecting it lawfully. Keypath processes that information on the agent’s behalf to provide the tracker.

What we collect

Why we use it

We do not sell personal information, and we do not share buyer or seller details with advertisers or other businesses, with one exception you control: if On The House partner offers are available on your tracker and you choose to request a quote or claim a voucher, we pass only the details you enter (your name and, for quotes, your WhatsApp number and any note) to that one business, so it can contact you. You can turn partner offers off on your tracker at any time.

Who we share it with

Only with service providers that help us run Keypath, under agreements that protect your information: Supabase (database and sign-in), Vercel (website hosting) and Resend (email delivery). Some of these providers store data outside South Africa, with appropriate safeguards as required by POPIA. We may disclose information if the law requires it.

How long we keep it

Client trackers close 60 days after registration. We keep deal records for [period, e.g. 12 months] after a deal closes so agents can refer back to them, then delete or anonymise them. Agents can ask us to delete their account at any time.

Keeping it safe

Each tracker link contains a long random code and is meant only for the person it was sent to. Agents can only see their own deals. Agents’ private notes are never shown to clients. Keypath staff only open client details to help an agent with a specific deal, and that access is recorded.

Your rights

You may ask what information we hold about you, ask us to correct or delete it, or object to its use. Contact [email address]. If you’re not satisfied with our response, you may complain to the Information Regulator (South Africa) at inforeg.org.za.
